How to Pair Plantronics Headsets

Whether you have a Bluetooth Voyager, a DECT office headset, or a wired USB Blackwire, this guide walks you through the setup process step by step.

Pairing Bluetooth Headsets (Voyager Series)

Plantronics Bluetooth headsets like the Voyager 5200, Voyager Legend, Voyager Focus 2, and Voyager 8200 UC pair directly with your phone, tablet, or PC. Here is how to connect them:

  1. 1

    Charge the headset

Connect the headset to the included USB charging cable and charge it fully before first use. The LED indicator will turn solid when charging is complete.

  2. 2

    Turn on the headset

Slide the power switch to the ON position (Voyager 5200) or press and hold the power button for 2 seconds until you hear “Power on” (Voyager Focus 2, Voyager 8200). The LED will flash blue.

  3. 3

    Enter pairing mode

If the headset is new or has been reset, it enters pairing mode automatically when powered on (LED flashes red and blue alternately). If it does not, press and hold the Call button for 5–6 seconds until you hear “Pairing” and the LED flashes red and blue.

  4. 4

    Pair from your device

On your phone or PC, go to Settings > Bluetooth and turn Bluetooth on. Select your headset from the list of available devices (it will appear as “PLT V5200,” “PLT Legend,” “Poly VF2,” or similar). Tap to connect.

  5. 5

    Confirm the connection

You will hear “Pairing successful” or “Phone 1 connected” in the headset. The LED will stop flashing and settle to a slow blue flash. You are now ready to make and receive calls.

Tip: Most Voyager headsets can pair with up to 8 devices and maintain active connections with 2 devices simultaneously. To pair a second device, repeat step 3 to re-enter pairing mode and connect from the new device.

Setting Up DECT Wireless Headsets (Savi & CS540)

DECT headsets like the Savi 8220 and CS540 use a base station that plugs into your desk phone or PC. The headset and base come pre-paired from the factory, so setup is mostly about connecting the base station correctly.

  1. 1

    Position the base station

Place the base station on your desk within reach. For best range, position it away from other wireless devices, large metal objects, and computer monitors. Connect the AC power adapter to the base station.

  2. 2

Connect to your desk phone (CS540)

Unplug the handset cord from the base of your desk phone. Plug the included telephone interface cable into the handset port on the phone, then connect the other end to the base station. For electronic hookswitch (remote answer), connect the optional HL10 lifter or EHS cable.

  3. 3

Connect to your PC (Savi 8220)

Plug the USB cable from the base station into your PC. The system will automatically install the necessary drivers. For Savi models with Bluetooth, you can also pair your mobile phone to the base station by pressing the Bluetooth pairing button.

  4. 4

    Dock and charge the headset

Place the headset in the charging cradle on the base station. The charging LED will illuminate. Allow the headset to charge fully before first use (typically 3 hours for a full charge).

  5. 5

    Test the connection

Lift the headset from the base and press the call button. You should hear a dial tone (desk phone) or see the headset appear as an audio device on your PC. Adjust the speaking and listening volume using the dials on the base station.

Tip: If you need to re-subscribe a DECT headset to its base (for example, after a replacement), press and hold the subscription button on the base for 3–4 seconds until the base LED flashes, then place the headset in the charging cradle. The headset and base will pair automatically.

Connecting Wired USB Headsets (Blackwire Series)

Wired headsets like the Blackwire 5220, Blackwire 3220, and Blackwire 3320 are plug-and-play devices that connect via USB-A or USB-C.

  1. 1

    Plug in the USB connector

Connect the headset's USB-A or USB-C plug into an available port on your PC or Mac. The operating system will automatically detect and install the headset as an audio device. No additional software or drivers are required.

  2. 2

    Set as default audio device

On Windows, go to Settings > System > Sound and select the Plantronics headset as both the input and output device. On Mac, go to System Settings > Sound and choose the headset under Output and Input tabs.

  3. 3

    Configure in your communication app

In Microsoft Teams, Zoom, or your preferred app, go to audio settings and select the Plantronics headset as the speaker and microphone. This ensures the inline call controls (answer, mute, volume) work correctly with the application.

  4. 4

Use the 3.5mm option (Blackwire 5220)

Some Blackwire models include a 3.5mm audio jack in addition to USB. Use this to connect to mobile phones or tablets that lack USB ports. Simply plug the 3.5mm connector into the headphone jack of your device.

Tip: Install the free Poly Lens desktop app for firmware updates, device settings customization, and call analytics. It works with all Blackwire, Voyager, and Savi headsets.

Troubleshooting Common Pairing Issues

If you are having trouble connecting your Plantronics headset, try these common fixes before contacting support.

Headset not appearing in Bluetooth list

Make sure the headset is in pairing mode (LED flashing red and blue). If it was previously paired to another device, clear the pairing history by holding the Call button and the Volume Down button together for 5 seconds until you hear “Pairing list cleared.” Then re-enter pairing mode.

Audio not routing to the headset

Check your PC or phone's audio settings to ensure the Plantronics headset is selected as the default audio output and input device. In communication apps like Teams or Zoom, verify the headset is chosen in the app's audio settings separately from the system defaults.

DECT headset not connecting to base

Re-subscribe the headset by pressing and holding the subscription button on the base station for 4 seconds until the LED flashes, then place the headset in the charging cradle. Also verify the base station has power (green LED lit) and the USB or phone cable is firmly connected.

Poor audio quality or static

For Bluetooth headsets, move closer to the paired device and remove potential interference sources (Wi-Fi routers, microwaves, other Bluetooth devices). For DECT headsets, reposition the base station away from monitors and other electronics. For all headsets, ensure firmware is up to date using the Poly Lens app.

USB headset not recognized

Try a different USB port on your computer. If using a USB hub, connect directly to the PC instead. On Windows, open Device Manager to check if the headset appears under “Audio inputs and outputs.” Restart your computer if the device is not detected after plugging in.

Headset will not turn on

Ensure the headset is fully charged. If it still does not power on, perform a reset: for Voyager 5200, hold the Call button and Volume Up button together for 10 seconds; for Voyager Focus 2, hold the power button for 10 seconds. After resetting, charge the headset and try again.
